Hard facilities management is the upkeep of the physical building and the fixed systems inside it: heating and cooling, electrics, water, lifts, fire systems, the roof and the fabric. When one of these fails, the building stops working, and usually at the worst possible time.

Most sites end up with a separate contractor for each system, a separate invoice for each visit and nobody holding the whole picture. We take that off you. You deal with 3S Consult™, we allocate the work to a vetted, SSIP-accredited subcontractor on our panel, and the job is photographed against the specification before anything is certified for payment.

HVAC maintenance

Heating, ventilation and air conditioning serviced to a schedule, so faults are found before the hottest or coldest week of the year.

Planned or reactive hard facilities management: getting the balance right

A building run only on reactive call-outs costs more than it looks. Each breakdown is priced in a hurry, parts are bought at short notice and the same fault tends to come back. A planned maintenance schedule turns most of that into booked visits at an agreed cost.

Reactive cover still matters, because plant fails without warning. The aim is a schedule that catches the predictable faults, with a clear route for the rest. Urgent and make-safe works are prioritised, and most requirements are matched to a subcontractor within 48 hours.

The mistakes we see most on commercial sites

Missing records are the common one. The work was done, but nobody can find the certificate when an insurer or inspector asks. The other is plant run well past its useful life because replacement never makes it into the budget. We keep the record at every stage, and plant replacement can be funded over a fixed term instead of waiting for next year.

Boiler, chiller and air handling replacement, rewiring and major fabric works rarely land when the budget allows. Evidence

How every hard FM job is evidenced

The subcontractor uploads completion photographs against the specification, and we check them before sign-off. Work that fails inspection is not certified for payment. Test certificates and service records are filed with the job, so you have a record of each stage when an insurer or inspector asks.

Do I deal with the engineer or with you?

With us. We hold the appointment, monitor the work and certify payment. The subcontractor works to our specification, which keeps the standard consistent from one job to the next.

Can you take on a building that has had no planned maintenance?

Yes. We start with a site visit to see what is there and what condition it is in, then build a schedule from that. Anything urgent is dealt with first.

How quickly can someone attend a breakdown?

Most requirements are matched within 48 hours. Urgent and make-safe works are prioritised, so flag it on the form or call us and we will act rather than wait for the system.

Is statutory testing included?

It can be. Gas safety, PAT, legionella control and EICRs can all sit under the same contract as your planned maintenance, with the certificates filed together.

Can hard FM be combined with cleaning and security?

Yes. A single contract can cover planned maintenance, statutory testing, cleaning, security and grounds, with one point of contact for all of it.
