It starts with a written specification. "Clean the offices" is not a standard anyone can be held to. Frequencies, areas, finishes and access times need to be set down, so the subcontractor knows what is expected and you know what you are paying for.
The second part is evidence. On our panel, subcontractors upload completion photographs against the specification, which gives you a record of what was done and when. Where a standard slips, it is picked up at sign-off rather than weeks later in a complaint.
Each supplier brings its own management time, invoicing and renewal date. Gaps appear between them: the cleaner who is not allowed past security, or the bins nobody is responsible for. Bringing soft FM under one contract removes those joins, and it sits easily alongside hard FM and statutory testing if you want the whole building covered.

Security work is placed with contractors who hold the licences and accreditation their trade requires. We check certificates on the panel against their expiry dates.
Completion photographs are uploaded against the specification and checked before sign-off. Work that fails inspection is not certified for payment.
